How to use. Everyone underestimates labour. The framework below is calibrated from 20 years of school productions across Victoria — small drama showcases through to big-school musicals. Pick the band that matches your show, then read across to the crew-hours total. Compare this number to what your contractor quotes. If their crew-hours line is more than 25% over the band figure, it's a question you ask before you sign.

The four complexity bands

Band S — Small showcase / one-act

Typical: Year-12 drama showcase · senior English performance night · house-play festival.
Indicators: single set or stripped staging · 6-12 fixtures · 1-2 microphones · 30-60 min running time · 1-2 performances.

Indicators: revolve OR multi-look set · 30-60 fixtures · 20-32 mics · 2-2.5 hr running time · 5-8 performances · several quick-changes · followspot.

Worked example — applying the framework to a contractor quote

St Joseph's SC running Les Misérables (Year 12 musical, 5 performances, 380-seat school venue). Independent assessment via framework: Band L.

Framework estimate: ~994 crew-hours for the production.

Lighting contractor labour line: 720 crew-hours @ $145/hr = A$104,400.

Sound contractor labour line: 240 crew-hours @ $125/hr = A$30,000.

Contractor total: 960 crew-hours.

School in-house crew (students + you + parents): ~280 crew-hours not on the contractor invoice.

Combined: 1,240 crew-hours — within the 25% +/- range of framework's 994, on the upper edge. Defensible.

What to question: the 240 sound crew-hours feels high for a school musical (typical mid-large = 160-200). Ask: "Walk me through the sound crew-call sheet for the 8-day window. Where are the 240 hours?" If they can show you, pay. If they can't, negotiate.

Rates are indicative ranges drawn from publicly-advertised Vic-based theatrical hire companies as of 2026-05. Variance ±15% normal. Smaller regional contractors typically 15-25% below these; major Melbourne contractors at top of range.
