How to use. Open this on one screen + the tools on another. The steps assume your course login is current. URLs are correct as of 2026-05; if a screen has moved, the principles below still hold — every tool follows the same pattern of (1) create project, (2) build artefacts, (3) export.

EasyRisk · for Capstone Deliverable 1

EasyRisk is the SWMS + risk-register builder. Lives at app.easystagecraft.com/risk/. Login via your course credentials. The widget is built for Australian school theatre context — WorkSafe Vic / NSW / QLD references inline, hazard library pre-populated with the most common school-theatre tasks.

1 · Create your Capstone project (60 seconds)

  1. Go to app.easystagecraft.com/risk/
  2. Click "New project" (top right)
  3. Name: "Les Misérables — St Joseph's SC Capstone"
  4. Production type: Major musical
  5. Venue: 200-seat proscenium · 6m grid · manual fly
  6. Click Create

2 · Build the hazard register (10-15 min)

  1. Click "Hazard library" in left nav
  2. Filter by category (Height / Electrical / Manual handling / Chemical / Fire)
  3. For each hazard relevant to Les Mis, click "+ Add to my register"
  4. Score uncontrolled L × C using the matrix sidebar
  5. Click "Add controls" — pick from the library OR write your own
  6. Confirm residual score
  7. Save — auto-saves continuously, but the manual Save button locks the version

Target: 12+ hazards before exporting. The Capstone scenario brief flags two specific high-risk items (flying harness, pyro) — make sure both appear in your register.

3 · Generate SWMS for the top 3 (5 min each)

  1. From the hazard register, sort by residual score descending
  2. For each of the top 3, click "Generate SWMS"
  3. EasyRisk pre-fills the SWMS template with the hazard's category, controls, and the matrix score
  4. Add: Task description, Persons involved, Equipment, Step-by-step procedure, Emergency procedure
  5. Click "Lock for sign-on" — SWMS becomes uneditable, sign-on QR code generated

4 · Export the pack

  1. Top-right → "Export"
  2. Choose "Capstone bundle" — produces a single PDF containing: risk register + all SWMS + matrix reference page + sign-on QR posters
  3. Wait 15-30 sec for the PDF
  4. Download · save to portfolio/D1-risk-register.pdf
Tip: the QR poster generated by EasyRisk doubles as your daily-sign-on poster (Module 1 resource). Save the QR PNG separately + attach to the production-office door for the real production.

EasyScheduler · for Capstone Deliverable 2

EasyScheduler is the production-schedule builder. Lives at app.easystagecraft.com/scheduler/. Built specifically for school-theatre cadence — supports the 70% rule natively, integrates with EasyRisk for SWMS-tagged tasks, exports printable bump-in matrix + tech-week run sheets + show-day run sheet in one pass.

1 · Create your Capstone production (60 seconds)

  1. Go to app.easystagecraft.com/scheduler/
  2. Click "+ New production"
  3. Name: same as EasyRisk project (the two widgets link by name)
  4. Opening night: 16 October 2026 · 19:30
  5. Total performances: 5 · Bump-in start: 10 October
  6. Click Create — wizard generates 12-week skeleton based on inputs

2 · Build the bump-in matrix (15-20 min)

  1. Click into Day 1 of bump-in (Sat 10 Oct)
  2. Drag-and-drop tasks from the Task Library into time slots
  3. Assign departments (LX, SND, SET, SM, CAST, ALL)
  4. Schedule auto-detects task overlaps + suggests sequencing
  5. Add breaks (morning tea, lunch, afternoon tea) — required by Vic OHS s.21
  6. Apply the 70% loading via the slider — buffer band visualises in the grid
  7. Repeat for Days 2-4

3 · Tech-week + dress run sheets (10 min)

  1. Click "Tech week" tab
  2. EasyScheduler pre-populates: Mon tech-1, Tue tech-2, Wed dress-1, Thu dress-2
  3. Adjust call times to match your school's calendar (after-school start typical)
  4. Add per-day notes (e.g. "dinner provided", "year 9/10 released 20:30")
  5. Each day exports as a single run-sheet page

4 · Pre-show timeline (5 min)

  1. Click into opening night (Fri 16 Oct)
  2. "Pre-show timeline" mode
  3. Auto-generates from 17:00 house-clear through to 19:30 curtain-up
  4. Customise the timeline based on your venue's specifics (e.g. when does HVAC come on, when does HM brief)
  5. Save

5 · Export the pack

  1. Top-right → "Export"
  2. Choose "Capstone bundle" — single PDF: 12-week overview + bump-in matrix + tech-week run sheets + pre-show timeline + show-day run sheet
  3. Download · save to portfolio/D2-schedule.pdf
Tip: EasyScheduler exports a "labour-cost forecast" view (Distinction criterion). Click "Show costs" before exporting — every paid-crew block accumulates A$ next to it. Reconcile with your P&L (Deliverable 5) for a true Distinction-quality submission.

SWMS missing sections after exportOne or more sections weren't filled at lock-time. Unlock SWMS, fill missing fields, re-lock, re-export.
